Sales pipeline in a CRM: stages and reports for management

A pipeline isn't a picture — it's rules: what must happen for a deal to move to the next stage. Here's how to build one.

Stages = client actions

A good stage describes an event you can verify: “quote sent”, “test drive done”, “deposit received”. A bad stage is “thinking” or “in progress”: it tells you nothing about what's happening.

How many stages you need

Usually 5–7. Fewer, and you can't see where clients drop off. More, and reps stop moving deals. Pipeline examples for different fields are on the industry solutions pages.

Stage rules

  • Each stage has a required action or field.
  • A time limit per stage: if a deal is stuck, the rep gets a task.
  • A loss reason is required when a deal is lost.

Management reports

  • Stage conversion — exactly where clients drop off.
  • Lead sources — which channels bring sales, not just requests.
  • Rep performance — number of deals, response speed, conversion.
  • Loss reasons — what to fix in product, price or service.
  • Forecast — how much money is in the pipeline and when it will arrive.
Tip

Check yourself in 3 minutes: the CRM audit shows how transparent your sales are for management.
